Privacy Policy

Meetingsprep reads your calendar and recent email so it can write a brief for each of your meetings. This policy explains exactly what we collect, why, who helps us process it, and the choices you have. The short version: we use your data to write your briefs, we never sell it, and we never use it to train AI models.

Meetingsprep reads your calendar and recent email for one reason: to write your briefs. Your data is never used to train AI models. It never sends email from your account, and you choose which calendar it covers.

1. Who we are

Meetingsprep (“Meetingsprep,” “we,” “us,” or “our”) is an app that prepares people for their meetings. It is operated by Meetings Prep AI, located at [Mailing address].

This policy covers our website at meetingsprep.com, the Meetingsprep web app, our beta program, and any emails or text messages we send (together, the “Service”).

2. Information we collect

Information you give us

  • Beta sign up: your name, email address, phone number, and whether you agreed to receive text messages.
  • Account details: when you sign in with Google, we receive your name, email address, and profile photo from your Google account.
  • Messages to us: anything you send when you contact support or give us feedback.

Information from Google, with your permission

When you connect your Google account, Google asks you to approve access. With your approval, we access:

  • Google Calendar: events on the calendar you choose, including event titles, dates, times, locations, descriptions, meeting links, and the names and email addresses of attendees.
  • Gmail: recent messages between you and the people on your upcoming invites, including senders, recipients, subject lines, dates, and message text. We only look at threads involving those attendees from the last [30] days.

We do not send email from your account, change your calendar, or delete anything in your Google account.

Information we create for you

We create meeting briefs from the information above. A brief can include a summary of your relationship with an attendee, open items from your conversations, and a suggested question to ask.

Information collected automatically

  • Technical data: your IP address, browser type, device type, and the pages you visit, collected in server logs by us and our hosting provider.
  • Usage data: when you sign in, when briefs are created and opened, and errors you run into, so we can keep the Service working.

3. Google user data

Meetingsprep's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In practice, that means:

  • We only use Google Calendar and Gmail data to create and show your meeting briefs, and to keep that feature secure and working.
  • We do not use Google user data to serve ads, including personalized or retargeted ads.
  • We do not sell Google user data, and we do not transfer it to data brokers or information resellers.
  • We do not use Google user data to train or improve AI or machine learning models, ours or anyone else's.
  • People on our team do not read your Google data unless you ask us to for support and give us permission, it is needed for security or to investigate abuse, it is required by law, or the data has been aggregated and made anonymous for internal operations.
  • We only share Google user data with the service providers listed in Section 7 who help us create your briefs, under contracts that limit how they may use it.

4. How we use information

  • To create your account and sign you in.
  • To read your upcoming meetings and related email, and write your briefs.
  • To send your briefs by email and show them on your dashboard.
  • To run the beta program, including inviting you, onboarding you, and asking for feedback.
  • To send you service messages, like sign in alerts, changes to these terms, or problems with your account.
  • To send you text messages, only if you opted in (see Section 6).
  • To keep the Service secure, prevent spam and abuse, and fix bugs.
  • To meet legal obligations and enforce our terms.

We do not sell your personal information, and we do not use it for targeted advertising.

5. How we use AI

Meetingsprep uses an AI model provided by Anthropic to write your briefs. When a brief is created, we send the relevant calendar details and email text to Anthropic's API, and it returns the written brief.

  • Under its commercial terms, Anthropic does not use data sent through its API to train its models.
  • We only send what is needed to write the brief for that meeting.
  • AI can make mistakes. Briefs can be incomplete or wrong, so check anything important before you rely on it.

6. Text messages

If you check the box to receive text messages, we will text you about the Meetingsprep beta, such as your invite, onboarding tips, and product updates. Agreeing to texts is never required to join the beta or use the Service.

  • Message frequency varies.
  • Message and data rates may apply.
  • Reply STOP to opt out at any time. Reply HELP for help, or contact us at eric@meetingsprep.com.
  • Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt in data and consent will not be shared with any third parties, except the service providers that deliver our messages for us.

We keep a record of your consent, including the date, time, and wording you agreed to, so we can show that you opted in.

Other situations

  • Legal reasons: when we believe it is required by law, a court order, or to protect the rights, safety, or property of our users, the public, or Meetingsprep.
  • Business changes: if Meetingsprep is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that deal. We will tell you before your information becomes subject to a different privacy policy.
  • With your permission: any other time you ask us to share it.

We do not sell personal information, and we do not share it for cross context behavioral advertising.

8. How long we keep it

  • Calendar and email content: we process it to create your briefs and do not keep copies of your full email messages longer than 90 days.
  • Briefs: kept for 90 days so you can look back at them, then deleted.
  • Account details: kept while your account is open, and deleted within 90 days after you delete your account.
  • Beta sign ups: kept until the beta ends or you ask us to remove you.
  • Text message consent records: kept for as long as the law requires, even after you opt out.
  • Server logs: kept for up to 90 days for security and troubleshooting.

9. Security

We protect your information with encryption in transit (HTTPS), encryption at rest for stored data, access limited to the people and systems that need it, and secure storage of the tokens that connect your Google account. No system is perfectly secure, so we cannot promise absolute security. If a breach affects your information, we will notify you as the law requires.

10. Your choices

  • Disconnect Google: remove Meetingsprep's access at any time from your Google account at myaccount.google.com/permissions. Briefs stop as soon as access is removed.
  • Delete your account: email us at eric@meetingsprep.com and we will delete your account and the data tied to it.
  • Emails: stop brief emails in your settings, or use the unsubscribe link in any marketing email. We may still send you important account messages.
  • Text messages: reply STOP to any text.
  • Leave the beta: email us and we will remove your sign up.

11. Your privacy rights

Depending on where you live, including California, Virginia, Colorado, Connecticut, and other states with privacy laws, you may have the right to:

  • Know what personal information we have about you and how we use it.
  • Get a copy of your personal information.
  • Correct information that is wrong.
  • Delete your personal information.
  • Opt out of the sale of personal information or targeted advertising. We do neither.
  • Appeal if we turn down your request.

To make a request, email eric@meetingsprep.com. We will confirm your identity before acting on it and respond within the time the law requires, usually 45 days. You can use an authorized agent to make a request for you. We will never treat you differently for using your privacy rights.

12. Cookies

Our website does not use advertising or tracking cookies. The web app uses essential cookies and similar storage to keep you signed in. Our fonts are served from our own website, so loading a page does not share your IP address with a font provider. Our hosting provider may set a cookie used only for security, like blocking bots.

13. International users

Meetingsprep is based in the United States, and your information is processed in the United States and wherever our service providers operate. If you use the Service from outside the United States, you understand your information will be transferred there. Where the law requires it, we rely on appropriate safeguards for these transfers.

14. Children

Meetingsprep is a business tool and is not meant for anyone under 18. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

15. Changes to this policy

We may update this policy as Meetingsprep grows. We will change the date at the top when we do, and if the changes are significant, we will tell you by email or in the app before they take effect.
